How to Download Attendance and Check-in Data for Reports

With Event Smart, you can use our mobile apps or web interface to check-in attendees and track attendance.

This simple guide will show you how to export the data from Event Smart to a .csv file so you can build your own reports.


An active subscription for the Registration Check-in feature upgrade is needed to check-in guests on your Event Smart website.

The check-in and attendance tracking features is also included in the personal or business plans. Want to upgrade to one of these plans? Make the switch from your My Account page on EventSmart.com.


To download check-in or attendance data from Event Smart: 

Navigate to the  Registrations > Event Check-in tab.

Select the event that you want to retrieve the check-in data:

If you the event you chose, includes multiple datetimes options, you may need to select the datetime. If your event only has one datetime, you will not be required to select the datetime.

After you select the datetime you will see the attendee records.

At the bottom of the page select the Filtered CSV Report to get the check-in/out status records:

Open the .csv file in any spreadsheet program.

When you open the file, look for the Check-Ins columns of data. It will look something like this: 

Important! How do you interpret this data?

Remember that we filtered this list to a specific datetime. Each check-in/out is indicated by incrementing the value up by one number. For example:

  • A single check-in only will have a value of 1
  • A check-in and also a check-out will have a value of 2
  • A check-in, check-out, and check-in again will have a value of 3

The ID column will give you the timestamp of the most recent check-in/out action.

So, generally, odd numbers mean that the last action for that attendee was a check-in, while even numbers in the check-Ins field represent that the last action for that attendee was a check-out.
