This upgrade is designed to improve the overall experience for you and your attendees, ensuring smoother operations and faster performance. We’ve carefully chosen a maintenance window that minimizes impact on your events, attendee access, and ticket sales. This proactive step reflects our commitment to providing you with a robust and reliable platform for managing your events seamlessly.

During this time, Event Smart services will be unavailable. You will see a maintenance page, but your account and events will be unavailable. 

We will update this page on a regular basis with progress as the maintenance progresses. 

Updates:

  • 2:00AM ET - The maintenance is complete. Please report any unexpected issues.
  • 1:29AM ET - We have overcome that problem and are back on track.
  • 12:33AM ET - We have run into a problem and our professionals are working to resolve it.
  • 11:41PM ET - The maintenance is still processing.
  • 9:22PM ET - Progress is moving forward as expected.
  • 7:09PM ET - We have put EventSmart.com into maintenance mode to do a full backup of the database before doing further maintenance. This helps to ensure data integrity during the maintenance processes.

How to Plan Ahead for the Scheduled Event Smart Maintenance

Here are some tips to help Event Smart organizers minimize disruptions during the scheduled maintenance:

1. Communicate

  • Inform your team: Make your team aware of the maintenance period and ask them to be prepared by completing critical tasks and the lack of access to Event Smart while the maintenance is being completed.
  • Inform registrants: If there’s an ongoing event or registration period, notify attendees that the site may be temporarily unavailable during the maintenance window.
  • Adjust deadlines: Ensure any deadlines for ticket purchases or registrations are not set to occur during the outage period. Either make the deadlines before Jan 19, or after Jan 20.

2. Process Critical Tasks Ahead of Time

  • Close registrations early: If the outage coincides with an event or deadline, close registration early to ensure all payments and sign-ups are processed beforehand.
  • Download reports: Export attendee lists you might need access to during the downtime or shortly there after.
  • Confirm settings: Ensure all event, ticketing, promotional, or payment configurations are finalized prior to the outage.

3. Prepare for Communication

  • Provide alternative contact info: Let potential registrants or attendees know how to contact you (e.g., via email or social media) while the platform is offline.
  • Update social media or websites: Post a notice on external communication channels about the scheduled downtime.

4. Set Up Offline Alternatives

  • Offline registration: Have a backup plan, such as accepting registrations via email or a shared form (e.g., Google Forms) during the downtime. If you do accept registrations offline during the maintenance, you can add them manually to Event Smart once the maintenance is
  • Offline check-in: If events are happening during the outage, ensure you have a printed attendee list or use tools like manual check-in.

5. Prepare for Follow-Up

  • Post-maintenance checks: After the system is back online, verify that your events, registrations, and settings remain intact.
  • Send updates: Notify users and attendees when the system is fully operational again.
